One-Time Projects

Catch-Up Bookkeeping: Missing several months of records? We will bring your books up to date for a flat fee equal to your plan's monthly rate for each month behind.

Forensic Clean-Ups: Our standard catch-up rates apply to blank or un-entered months. If your software history contains existing entry errors, balance mismatches, or duplicated data requiring manual corrections, an investigative clean-up rate of $100 per hour will apply.

Onboarding & Policies

Client Onboarding Process

Before services begin, all new clients will complete the following onboarding steps:

1. Contact Questionnaire & Consultation-

Clients begin by completing our contact questionnaire and scheduling a consultation so we can understand your bookkeeping needs and ensure we’re the right fit to support your business.

2. Review of Existing Books-

We will review your current QuickBooks Online file and bookkeeping structure to assess:

  • Current condition of books

  • Cleanup or catch-up needs

  • Account structure and reconciliations

  • Monthly transaction volume

  • Required services and pricing

3. Service Agreement-

All services are finalized through a service agreement outlining:

  • Scope of work

  • Monthly and/ or project pricing

  • Billing terms

  • Client responsibilities

  • Service expectations

Work will not begin until the service agreement has been signed.

Payment Policy:

Monthly Bookkeeping Services-

All recurring bookkeeping services are billed automatically on a monthly basis through secure online payment.

Monthly plans are billed in advance to maintain uninterrupted service.

Catch-Up Projects-

Book catch-up services are quoted at a flat fee based on the complexity and condition of the books reviewed during onboarding.

Large cleanup projects may require:

  • A deposit prior to work beginning

  • Progress payments for extended projects

  • Payments are due on the scheduled billing date listed in the service agreement.

  • Late or failed payments may result in paused services until the account is brought current.

  • Clients are responsible for maintaining a valid payment method on file for recurring monthly services.

Client Responsibilities-

Clients agree to:

  • Provide timely access to requested financial documents and accounts

  • Respond to bookkeeping questions or requests promptly

  • Maintain active QuickBooks Online subscription

  • Review financial reports provided each month

Delays in receiving information may affect turnaround times and reporting accuracy.

Confidentiality-

All client financial information is handled confidentially and used solely for bookkeeping and financial organization purposes.

COMPANY POLICIES

Bank Feed & Software:

All monthly bookkeeping tiers require that income and expenses flow directly through active, automated bank feeds or supported direct integrations inside QuickBooks Online. We do not manually input data from unintegrated third-party apps, custom CRMs, or external billing systems. If your business operations require custom app data entry that cannot be linked automatically to your accounting ledger, we will respectfully decline or sunset the engagement. Clients must maintain their own active accounting software subscription (QuickBooks Online) at the tier level required to support their business features.

Tax Season & CPA:

Our services focus strictly on monthly management and operational bookkeeping. We provide you with clean, tax-ready financial statements at year-end for you to hand off to your CPA. We do not coordinate directly with third-party tax accountants, handle tax filing, or input year-end CPA adjusting journal entries. However, clients are fully encouraged to invite their CPA directly into their software as an "Accountant User" so their tax team can pull records and input tax adjustments seamlessly.

Cancellation Policy:

Either party may terminate ongoing monthly bookkeeping services according to the notice period outlined in the service agreement.

Any completed work or outstanding balances remain payable upon cancellation.
